We are looking for an experienced associate to senior level Project Manager to support our Account and Project teams to execute this commitment across our company. As a Project Manager, you will be an important member of Showcraft’s Projects team, serving both existing and new accounts. You will anticipate client’s needs and offer solutions that contribute to their event strategy success through setting key objectives, measuring results, and developing strong relationships of influence.

The Project Manager has key accountabilities in the areas of project planning and execution, project costs and budget, communication and business continuity, client relationships, and product knowledge. Areas of Accountability

Project planning and execution

  • Understand standard schedules for exhibit projects, and create timelines and deliverable dates based on these standards to keep projects on track and reduce slippage by anticipating and proactively managing potential delays

  • Collaborate with Accounts to build strategies and objectives for specific projects and work with design and product teams to execute proposals for new and existing clients

  • Maintain and monitor the accuracy of current event dates, financial information, estimates, and billing through the project cycle

  • Complete trade show forms and work with service subcontractors and vendors

Project costs and budget

  • Estimate project costs and reconcile project expenses, assisting the team with proposals and invoicing

  • Understand standard costs for projects, escalating any spends that were not forecasted or aligned with team norms

  • Where projects exceed budget in a particular area, consider how to flex costs in other areas for the project, so that margins are maintained where possible

Communication and business continuity

  • Communicate with project partners and internal/external stakeholders on project details accurately, professionally, and in a timely manner, so that project expectations are clear

  • Work with product and design teams to ensure that projects in production meet show rules and regulations, client expectations, and brand vision

  • Work with the client experience team to create set-up instructions for on-site staff

  • Assist in the training and development of new team members when necessary

Client relationship

  • Act as the primary day-to-day point of contact for clients during the project process and deliver on our No Stress, No Surprises commitments
  • Occasional travel to support the project and client experience team and/or clients at trade shows and live events

Product knowledge

  • Have a thorough understanding of our products, inventory, and service offerings to bring expertise to our clients
  • Where individual projects require, work to procure other product options to meet client or exceed client needs
  • Evaluate and check product creation such as but not limited to graphics, beMatrix structure, pop-up banners, and back walls

Desired Experience, Knowledge, Skills, and Abilities

  • A minimum 3 years experience in trade show and live event industry

  • Knowledge of trade show products, options, and vendors

  • Familiarity with best practices in project management and client support roles

  • Proven track record of exceeding goals and receiving positive client feedback

  • Ability to empathize, support, and collaborate with others on problem resolution

  • Demonstrated success managing details and teams in a fast-paced, client facing position

  • Experience presenting to client senior leadership and decision-makers, with an ability to build relationships, influence, and negotiate with key stakeholders

  • Ability to work beyond 40 hours/week during high volume periods to ensure project deliverables and client needs are met

  • Proficiency with project management software such as Monday.com, Trello, or Airtable

  • Knowledge of Google Workspace and Office 365, with an ability to learn new
    technologies

  • Preferred familiarity with Adobe Creative Suite
